eCertrack - Frequently Asked Questions
Can I run eCertrack over a Windows network?
Yes, eCertrack has a multi user version that supports network installations.
We are interested in upgrading our Fastrack Windows version to eCertrack, can we keep our existing data?
Yes, eCertrack is specifically designed to replace our now obsolete Fastrack for Windows product and supports importing 100% of the Fastrack data, including documents, transactions and all attachments. If you are on a version of Fastrack older than 7.60.53, you will need to upgrade first (included with eCertrack upgrade). Fastrack version 7.60.53 has the ability to export all the required data needed to upgrade to eCertrack.
Can I run eCertrack on a Citrix or Windows Application server?
In short Yes, we have several clients successfully running eCertrack in those environments but with that said, installation instructions in those type of environments are beyond the scope of our technical department. Our support department cannot provide direction with that type of installation.
Does eCertrack support active directories?
Yes, but only basic authentication. Active directory group rights are not supported.
Does eCertrack support managing COI's for multiple entities?
Yes, but only in the eCertrack Pro version. They are called Company Levels in eCertrack. Additional company levels can be purchased when needed.
Can I restrict users to view but not change data?
Yes, based on the package selected, eCertrack uses a role based security. There are several options for configuring view only rights.
Can I email non-compliance letters?
Yes, depending on the your selected licensed options.
If the emailing option is part of the package selected, you can enter an email address in the Vendor record and select "Email" as your "Send Letter via" option . The next time you Send Letters, the letter will be tagged for emailing.
Can eCertrack use MS Exchange Server for emailing?
In short, yes!
We have clients successfully using MS Exchange but we do not directly support it and are not able to provide direct assistance with configurations.
GG-One software is designed to use basic Microsoft SMTP calls and do not have the provisions to directly handle the many security configurations built into MS Exchange.
How do I know how many vendors to purchase?
Each vendor (named insured) can track unlimited certificates and documents. You will need to determine the maximum number of unique vendors you estimate you will need to manage certificates for in the near future.
You may purchase additional blocks of 250 vendors (if available in your selected product edition) at any time down the road, as needed.
How do I know how many Company Levels (COI holders) to purchase?
Only available in eCertrack Pro (initially comes with 2 company levels).

If you are providing COI tracking as a service, you will need to purchase a company level for each company you manage certificates for.

If you are managing your own company's COI's and need to track for multiple centers or subsidiaries and want to keep the data separate for viewing and processing by users, you will need to purchase a Company Level for each company you want to track.

If you don't need to keep the data independent, you can use the "Groups" feature (if available in your selected product edition) to designate the separate companies and purchase just one company level.
What is an Insurance Requirement Category?
This is a unique setting of policy and additional terms requirements you create in the Maintenance section. When you enter in a COI, you select the requirements category it must meet from a selection box containing all the categories you created in Data Maintenance. Each Category allows you to select unlimited policies and additional terms requirements. Policy names and terms are customizable for the verbiage you require.
